Inventory Audit Log

Every add, edit, scan and move recorded with the person, the device, the IP address and the exact before-and-after quantities.

  • Who did what, when, from which device and IP
  • Before and after quantities on every change
  • Team events flagged in their own red feed
  • Immutable entries — even the owner cannot rewrite history

Why the log is the real product

Every inventory system tells you what you have now. The valuable one tells you how it got that way. When a count is wrong — and eventually one always is — the difference between a five-minute check and an afternoon of guessing is whether the history exists.

Every action here writes an entry: adds, edits, deletions, scans in and out, moves, team joins and approvals. Each carries the acting user, their device, their IP address and the quantities before and after. Entries are immutable by rule, so the record cannot be quietly cleaned up — not even by the account owner.

What you get

Full attribution

Person, device, IP and timestamp on every single entry.

Quantity deltas

Before and after values make discrepancies traceable rather than mysterious.

Batch detail

For expiry-tracked stock, entries name which lots were consumed.

Immutable by design

Rules forbid editing entries — history is append-only.

Covers API and integrations

Website sales and Square syncs are logged like any other action.

Searchable with AI

Ask the Analyst about the log instead of scrolling through it.

Accountability is a feature, not a threat

Teams work more confidently when mistakes are traceable and fixable, rather than personal and disputed.

How it works

1

Work normally

Every scan, edit and move is recorded automatically — nothing to switch on.

2

Open the Activity Log

Filter by action, item, person or device to narrow it down.

3

Ask questions

Use the AI Analyst to interrogate the log conversationally.

Frequently asked questions

How do I find out who changed an inventory count?

Open the Activity Log and look up the item. Each entry names the person, the device, the IP address, the time, and the quantity before and after the change. For expiry-tracked items it also shows which specific lot was consumed. If scrolling is tedious, ask the AI Analyst directly.

Can someone delete the log to cover their tracks?

No. Log entries are immutable by database rule — they cannot be edited by anyone, including the account owner. The owner can clear the log wholesale, which is itself an obvious act; individual entries can never be quietly rewritten.

Are sales from my website or Square logged too?

Yes. API-driven changes are attributed to the API, and Square sales appear as scan-outs attributed to Square POS with the order reference. Everything that touches a quantity leaves a trace, regardless of where it came from.

How long is history kept?

Entries are retained for about six months, which covers the vast majority of investigations. For permanent records, export your data — or ask the Analyst to summarise a period before it ages out.
