Square integration

Square Inventory Sync

Connect your Square account in three clicks. Sales ring up on Square and your stock drops here seconds later — and changes here push straight back.

  • Two-way sync: sales in, stock edits out
  • Matched by barcode (UPC), then SKU, then name
  • One click sends your whole catalogue into Square
  • Photos, prices, SKUs and names stay in step both ways
Square inventory sync connecting POS sales to stock levels

Keeping Square and your inventory honest

Square is excellent at taking payments and adequate at inventory. The usual result is two systems drifting apart: the POS says eleven, the stockroom says four, and someone reconciles them monthly by hand.

Connecting the two removes the reconciliation entirely. A completed Square order deducts stock here within seconds, logged as a scan-out so alerts and auto-reorder react to it. Quantity changes here — a delivery, a correction, a sold-out flag — push back to Square. Manual stock edits made in Square flow the other way too, and prices, names, SKUs, barcodes and photos stay aligned in both directions.

What you get

Sales sync in seconds

Completed Square orders deduct stock here automatically, exactly once.

Sold out here, sold out there

Hit zero and Square shows it, so your online store stops overselling.

Send your catalogue over

One button creates or matches every item in Square, tracked and counted.

Or pick a few

Select specific items and add just those with a bulk action.

Full field sync

Names, descriptions, prices, SKUs, barcodes and photos flow both ways.

FEFO respected

Square sales consume the soonest-expiring batch, keeping expiry data accurate.

One number, two systems

The point of an integration is that nobody has to remember it exists. Ring up a sale and both systems are simply right.

How it works

1

Connect Square

On the Integrations page, click Connect and approve on Square’s own screen.

2

Align your items

Send your catalogue over, or let matching link items by barcode and SKU.

3

Sell normally

Everything syncs both ways; unmatched items raise an alert telling you what to fix.

Frequently asked questions

Does Square inventory sync with other software?

Square exposes an API that lets a system like this stay in step with it. Once connected, completed Square orders deduct stock on our side within seconds, and quantity changes here push back to Square. Both directions are automatic — there is no export, import or nightly job to babysit.

Why do my Square items not sync?

Almost always one of two things. First, matching: items are linked by barcode (UPC), then SKU, then exact name, so an item with none of those cannot be matched — add a barcode or SKU and the next sale links it. Second, Square’s tracking mode: an item must be set to "track by stock" rather than "track by availability", because availability mode has no numbers behind it for a sync to drive.

Will connecting Square overwrite my existing stock levels?

No. Connecting only establishes the link; nothing changes until a sale happens or you explicitly send your catalogue over. When you do use "Send my items to Square", you are choosing to set Square’s counts to match yours — and you can send just a few selected items instead of everything.

Does it work with Square Online as well as the POS?

Yes — both are the same Square catalogue and inventory, so online orders and in-person sales both deduct stock here. Whether a sold-out item is hidden from your online store is Square’s own setting; the count that triggers it is the one we keep accurate.
